You can use Zapier to integrate Ruuster with an outside CRM or software of your choice if we do not have a built-in integration.
In this article, we’ll talk about what triggers and actions are available in Ruuster and how to get your Zapier API token.

What Actions Are Available?
Curious about what you can do with a Zapier integration to Ruuster? Navigate to the Ruuster Integrations page on Zapier and then scroll to the Supported triggers and actions section.
Note: What you can integrate depends on the actions available for your CRM or outside software in Zapier.
You will notice there are two main types of zaps for Ruuster:
Brokerage Level Zap - These zaps will trigger when the action is done by any client of any agent in the team/agency/brokerage, regardless of their assigned agent. An admin would likely use these zaps.
Individual Agent Zap - These zaps will only trigger for actions done by an individual agent’s clients. An individual agent that is not an admin would use these zaps.
Get Your Zapier API Token from Ruuster
To create a Zap with Ruuster, you will need to use the Zapier API Token for your account.
When your Ruuster account is created you should receive a URL based on your agency name. An example would be https://yourcompany.ruuster.com. Open up the browser version of Ruuster to get started with integrations.
In the top right, click your username and then Account Settings in the dropdown.
Scroll down to the Zapier Integrations section. The token, or API key, is the string of characters above the button. Copy the API key you will need it later.
Click Integrate with my CRM via Zapier to get started.
Zapier will open for you to start creating your triggers!
Note: You must have your own Zapier account to continue this process.
Set Up a Zap
On the Zapier page that opens, click Connect Ruuster.
The Zapier editor will open. Click on the Trigger.
To the right, you can select the Event in Ruuster that you want to log or trigger an action in your CRM.
Note: Pay careful attention to the names of the different zaps. See the section What Actions are Available? above to understand the different Ruuster event options.
In the example below, a zap is being created so that any time an agency client views a property, this zap is going to trigger.
Click Continue for the next step.
You now need to connect Ruuster to Zapier. Click Sign In.
In the new window, enter the email address used for your Ruuster account and paste the API key you copied earlier. Click Yes, Continue to Ruuster when you’re done.
Note: Make sure the email you use is the same one used for your Ruuster account. You will not successfully connect if you use a different email.
When you’re done, you’ll see the account information. Click Continue.
Select Test trigger.
Ensure you selected the correct trigger and click Continue with selected record.
Next, use the Search bar to find the CRM that you want to trigger an action in. In the example below, Cinc is chosen.
A new step will be added for your selected CRM. Click on the step. To the right, choose what Event happens in the CRM when the Ruuster event happens.
In the example below, when any client views a property in Ruuster, a note will be added to Cinc recording the event.
When you’re done, click Continue.
To complete the zap, you will need to click Sign in for your selected CRM and complete the process to connect the account to Zapier.
When you’re done, your zap will be active.
