Introduction
With AI Nurture you can engage your new leads and reengage your older ones with auto-customized properties, providing an effective method for identifying search criteria and establishing relationships. You can apply the alerts one-by-one or in bulk from within your CRM.
Please note: You will need to connect your Follow Up Boss or Sierra Interactive CRM via direct API integration to unlock this feature.
Why Use AI Nurture?
AI Nurture is a super effective way to engage with your clients.
For top of funnel leads, property data – and especially property data which auto-matches with the kinds of properties your lead is interested in – is some of if not the most valuable information that you can provide to the lead.
Additionally, AI Nurture alerts will never sunset, which means that even if your client is months or even years away from reaching out to you, your branding and your value will be delivered to their email inbox on a recurring basis.
Setting Up AI Nurture in Ruuster
Inside your Ruuster account, on the left-hand panel in "Agent view", select the option for AI Nurture.
Brokerage Default Searches
You can view saved searches set up at the brokerage-level in the "Brokerage Default" tab. If you are an account admin, you can also create and manage these searches.
The option for "Default saved search" displays by default. The account admin can edit your account's default saved search by selecting the "Edit" button. This "Default saved search" includes the criteria that will be utilized, by default, for all agents on your account -- if and until the agent modifies that criteria for themselves in the "My Searches" tab (more on that below).
Here an admin can also create additional brokerage-level searches by selecting the "Create Search" option.
My Searches
Any agent can create and manage their own specific searches in the "My Searches" tab.
The option for "Default saved search" displays by default. You can edit your default saved search by selecting the "Edit" button. This "Default saved search" includes the criteria that will be utilized, by default, for leads who are assigned to you and applied the search. The settings for this search will pull from the brokerage-level default search -- if and until you modify that criteria for yourself (more on that below).
Here any agent can also create additional agent-specific searches by selecting the "Create Search" option.
Creating and Editing a Search
To create a search, select the "Create Search" option. You have various features available to you when creating or editing a saved search.
Step 1. Create a search name
Here you can create a search name.
Step 2. Select filters
In the "Select filters" step you'll determine the property criteria for the search.
Once you've determined the search criteria, click "Save" in the "Saved Search edit mode" container to return to the search.
For your agent-specific "Default" search, you can update your agent-specific settings when you're onboarding to your new account with Ruuster. Post-setup, you can always modify it in your agent-specific settings in Agent view -> Search Settings (which is also linked from your default search):
For your brokerage-level "Default" search, you can update your brokerage-specific settings in your brokearge-specific settings in Admin view -> Global Settings -> Search Settings (which is also linked from your default search):
Step 3. Create a CRM tag
Select a unique tag to associate with the search. This is important as applying this unique tag is the method through which you can apply the saved search to your clients inside of your Sierra or Follow Up Boss CRM.
Step 4. Manage users (optional)
You can optionally apply the search to one or more of your clients inside of your Ruuster account in the "Manage users" section. You can quick-filter those clients who do and do not have the tag in Step 3 applied to them.
Step 5. Email notification settings (optional)
Here you can optionally modify the e-alert subject line.
Initial Alert and AI Nurture
The Initial Alert is a one-time email with all current matching listings to give your clients a clear start in their search, and new properties will trigger new alerts going forward.
Here's how Initial Alert works with AI Nurture:
If an AI Nurture alert is applied to a "new" lead in your CRM (defined as having registered in the last 48 hours), or if AI Nurture is applied to a client in the Ruuster admin, Initial Alert will auto-send in the next 15 or so minutes.
If the lead is "older" in your CRM (defined has having registered more than 48 hours ago), the Initial Alert will auto-send at the first scheduled send time (i.e., if the send frequency is Daily, the Initial Alert would send the next morning).
Applying AI Nurture in Your CRM
You can auto-apply saved searches to your clients inside your Follow Up Boss or Sierra CRM, either manually (one-by-one or in bulk) or in an automated way (lead routing or Automations).
First, Make Sure Your Clients Have Been Added to Ruuster
If your client(s) hasn't already been added to Ruuster, simply add the tag for "Ruuster" in the client's detail page in your CRM (Follow Up Boss or Sierra Interactive).
Or, you can add the tag for "Ruuster" in bulk in the lead dashboard – though make sure not to add that tag to more than 150 leads at a time.
Additionally, you can auto-apply the tag for "Ruuster" via your CRM's lead routing rules (Sierra) or automations (Sierra or FUB). (There is more on lead routing rules and automations below.)
Please note: Adding the "Ruuster" tag to a client's detail page will not do anything consumer-facing, it simply makes the lead searchable from within FUB or Sierra and inside your Ruuster account.
Manually Add Tags
To begin nurturing your clients with a Ruuster property alert, simply add the tag for "Ruuster Default Search" in the client's detail page in your CRM (Follow Up Boss or Sierra Interactive).
Or, you can add the tag for "Ruuster Default Search" in bulk in the lead dashboard – though make sure not to add that tag to more than 150 leads at a time.
Additionally, you can apply any other tag that is associated with a different search via Step 3, above.
Automatically Add Tags
You can auto-apply a saved search-related tag to newly routed leads via Sierra's lead routing rules and automations, and to existing leads via Sierra's automations and Follow Up Boss automations.
FAQs
I know that AI Nurture alerts update dynamically, both in terms of properties included and their send frequency. How exactly does all of that work?
The exact algorithm for AI Nurture is proprietary. With that said:
AI Nurture alerts get more and more customized based on your client's property view activity. In the case of no property views, or no property views for a very long time, the search criteria will "fallback" to the originally applied search.
Generally speaking, your new leads will get engaged on a more frequent basis than your older leads. If your lead is less than 48 hours old in your CRM, or if the alert is applied from within the Ruuster admin, the beginning send frequency is Daily; if your lead is more than 48 hours old, the beginning send frequency is Weekly.
The send frequency of the alerts will dynamically update to more or less frequent based on the client’s property views. The highest send frequency is Daily, and the farthest back the send frequency will go is Quarterly.
Will dynamic searches ever "sunset"?
No. The farthest back a dynamic alert frequency will go is to Quarterly.
How do dynamic searches know what properties my client is viewing?
A dynamic alert will pull property information from any properties viewed via the Ruuster IDX and any properties which display in the Activity section of the FUB detail page – including property views from the Ruuster IDX – and will dynamically update the properties displayed in the search based on property views.
That means that so long as property view data is importing to your Follow Up Boss account, a dynamic alert can pull from it – including property views from your Ylopo site, your Sierra IDX site, your Zillow property inquiries, and more.
When the "Ruuster Default Search" tag is applied to my client, which search will apply – the brokerage-level default saved search, or my own default saved search?
The modified agent-level search will take precedence over the brokerage-level search. With that said, if the agent-level search has not been modified from the brokerage-level search, then the brokerage-level search will apply.
Which CRMs does the dynamic nurture work with?
The dynamic alerts pull property view data from your integrated Follow Up Boss account. If you're utilizing a connected Sierra Interactive CRM, the dynamic alerts pull property view data from the Ruuster-provided property views.
I applied a tag to a client record in FUB, how do I know that the search has been applied successfully?
Once the tag for one of your AI Nurture searches has been applied to a client record in FUB, the saved search parameters will not display immediately, instead the saved search parameters will display in the "Searches" section of the Ruuster widget inside of FUB within 24 hours. At that point you can click to view the properties that are set to send to your client.
Some of my clients have past properties they have viewed. If I apply a dynamic alert to those clients, will it take into account those past property views?
Yes – depending on how far back those property views go, and depending on how many property views there have been, dynamic alerts will take into account your client's past property views.
I've got a lot of agents who each cover more than one geographic area. Can they set up more than one AI Nurture alert?
Yes, each agent can set up as many searches as they'd like in the "My Searches" tab of AI Nurture. Then, each agent can add unique tags to each of the searches to apply to one or more clients in your FUB CRM.
I've got a lot of agents who cover a lot of different geographic areas. Can you help me with setting up default searches for each of my agents?
